The Cycle Behind Every Renovation Order

Hotels and restaurant chains do not buy tableware continuously - they buy on a renovation cycle. The typical cycle runs three to five years: the property or the chain renews its look, replaces the tableware program, and then buys only breakage replenishment until the next cycle. For the buyer on the other side - the distributor, the contract supplier or the importer serving hospitality - the cycle is the planning clock: knowing where each account sits in its cycle decides when to pitch, what to offer and how to price. The 3-5 Year Replacement Schedule

The cycle has three phases. The renewal phase is the design decision: the property chooses the new look - shapes, colors, finishes - and the tableware program is rebuilt (see our design-trend and color-trend guides for the 2027 direction). The installation phase is the volume order: the full program ships, usually in phases across the property or the chain's locations. The maintenance phase is the quiet period: breakage replenishment only, at the standard volumes, until the next renewal. For suppliers, the maintenance phase is not dead time - it is where the relationship is banked and where the next cycle is won. The Phased Replacement Strategy

A renovation does not have to mean replacing everything at once. The phased strategy replaces by wear priority: the high-turnover pieces - breakfast plates, coffee cups, the pieces that hit the dishwasher ten times a day - go first (see our hospitality-buying guides for the durability specs), the low-turnover service pieces follow, and the décor and seasonal lines ride the cycle (see our new-season guide). Phasing does three things: it spreads the budget across the cycle instead of one quarter, it keeps the operation running while the replacement lands, and it lets the buyer validate the new program on a small batch before committing the full volume (see our trial-order guide). The rule: phase by usage, not by department - the pieces that wear first are the pieces that replace first.

Old-Stock Handling and the Supplier Match

The renovation produces a concrete problem: what happens to the old stock. The options are the standard set - donate, discount to staff, sell to secondhand channels, or the manufacturer takes back a portion against the new order - and the smart buyers decide the old-stock path before the new order is signed, because a renovation with a clear old-stock plan negotiates better. The supplier match follows the cycle too: the renovation order wants a supplier who can deliver the full program in phases with consistent color across batches (see our color-control and factory-capability guides), while the maintenance order wants a supplier who keeps the same item available for years - which is why the buyer who sources the renovation from the same supplier as the maintenance protects the program (see our multi-supplier and framework-agreement guides for the structure).
