Hotel Guest Rooms and Minibars: The Channel Where Things Disappear

The Problem: A Programme With a Shrinkage Rate

A hotel buys in-room ceramics by the property, in the tens of thousands, and then watches a proportion of them leave with guests. Two numbers govern the budget: the purchase price and the annual loss rate. Most programmes optimise the first and are surprised by the second — a lighter mug is cheaper to buy and easier to carry away, and a piece with no mark cannot be identified when it appears in a housekeeping trolley from another floor.

Three Specifications

A fitted tray, because loose items disappear and spill. The most effective loss reduction in this channel is not an anti-theft device: it is a tray with fitted recesses for the cup, the glasses and the sachets. A piece that has a defined place looks wrong when it is missing, which is precisely when housekeeping notices.

A laundry-rated body and glaze. Guest room ware is collected, washed centrally and returned; in many properties it passes through a high-temperature washer with the linen programme rather than a gentle cycle. The specifications that matter are thermal-cycle resistance (a glaze that crazes under repeated heating) and a rim that does not chip, because a chipped rim is what ends a piece's life in this channel, long before breakage does.

A marked item, quietly. A property mark — a fired backstamp, a discreet foot mark, a colour band — lets housekeeping recover pieces and lets a buyer compare loss rates between properties. Marks are usually placed on the base or the foot rather than facing the guest, and they are cheapest to add at the mould and decoration stage.

Brand Consistency Across Properties

A group buys once and replenishes per property, often across countries. Three items make that workable: the item is named and numbered in the order pack, so a property can reorder without a designer; the body and glaze are fixed for the programme life, so a piece bought in year three matches year one; and the decorated version is fired, not surface-printed, because a print will not survive the wash regime.

The Loss Arithmetic

Two figures belong in every quotation: the single-piece replacement price and the loss rate per hundred rooms per year. A programme that buys a cheaper, lighter piece frequently pays more over three years, because loss and breakage rise faster than the unit saving. This is the same calculation that applies in a stadium or a canteen — the channel changes, the arithmetic does not.

Questions to Ask a Supplier

  1. Can this piece be supplied with a fitted tray, and is the tray dimensionally specified?
  2. What thermal-cycle and dishwasher testing has the body and glaze passed?
  3. What is the rim profile, and how resistant is it to chipping in handling?
  4. Can a property mark be applied as a fired backstamp, and at what minimum?
  5. What is the single-piece replacement price, and how long will the body and glaze be available?
  6. Can items be individually packed for property-level reorder?

What to Put in the Order

  • The tray and recess dimensions, if a fitted tray is used.
  • Thermal-cycle and dishwasher requirements, with the cycle count.
  • A rim profile selected for chipping resistance.
  • The property mark as a fired backstamp, with a minimum quantity.
  • Single-piece replacement pricing and a programme-life availability statement.

The Habit That Ties It Together

The habit is to treat in-room ware as a programme with a loss rate rather than as a purchase. Properties that do this keep their own stock, and stop replacing a whole floor's worth of mugs every season.
